Australian Jamboree Bush 2 Beach Event Terms and Conditions
1. Definitions
Event means the Australian Jamboree 2025: Bush 2 Beach as described on the Event Website.
Event Website means the website containing the event description, program, participation information where you are able to apply for this event.
You or your means the event participant or applicant.
We means the Event Organiser.
Event Organiser means Girl Guides Australia, Girl Guides NSW, ACT & NT and the Event Executive Committee of Girl Guides NSW, ACT & NT.
2. Terms
By submitting an application, and if registered, by participating in the Event, you agree that these Agreed Terms, the terms of the Event Website, Guide Lines, the GGA Code of Conduct, the GGA Privacy Statement and Policy, GGA Child Safe Child Friendly Policy and Payment, Cancelation and Refund Policy, form the terms of participation for the Event (Terms) and govern your application to, and participation in, the Event.
3. Eligibility Criteria
All applicants must be a current and active Member of a Girl Guides Australia State Girl Guides Organisation or other Member Organisations of the World Association of Girl Guides and Girl Scouts (WAGGGS) to attend. Membership must be current before registering. All applications must be endorsed by a State Contingent Leader or International Commissioner.
3.1 Australian Youth Members
A. Youth attendees must be aged 10 – 17 years by 1 September 2025.
B. Attendees who turn 18 during the Event dates of 28 September – 5 October 2025 may choose to apply and participate as either a Youth or Adult attendee.
C. All Youth attendees must achieve Camping Trefoil 2 and a minimum of 6 nights under canvas before attending Jamboree.
3.2 Australian Adult Members
A. Adult attendees must be 18+ or turning 18 during the Event dates of 28 September – 5 October 2025.
B. Adult attendees must be able to support the delivery of the Youth program.
C. Adult attendees must be child safety compliant as set out in the GGA Child Safe Child Friendly (CSCF) Policy.
3.3 International Youth Members
A. International youth attendees must be aged 14-17 years by 1 September 2025.
B. All Youth attendees must have a minimum of 6 nights under canvas before attending Jamboree.
3.4 International Adult Members
A. International Adult attendees must be 18+ or turning 18 during the Event dates of 28 September – 5 October 2025.
B. International Adult attendees must be able to support the delivery of the Youth program.
C. International Adult Attendees must complete CSCF training hosted by Girl Guides Australia (GGA) and be signed off on GGA’s policy on CSCF and requirements whilst attending the Event.
4. Recruitment and Screening of International Adult Participants
All international adult participants will be screened and recommended by their Member Organisation of WAGGGS. Only female adult participants will be allowed to attend the Event.
All adult international participants will be partnered with an approved Australian Girl Guide Adult Member for the duration of the Event.
As per Clause 20 of the Child Protection (Working with Children) Regulation 2013 there is no WWCC required if you are - a worker who is working in and visiting New South Wales from outside the State for the purposes of a one-off event such as a jamboree, sporting or religious event or tour, if the event is the only child-related work carried out by the worker in New South Wales in that calendar year and the period of the work does not exceed 30 days.
International Adult Attendees must complete CSCF training hosted by Girl Guides Australia (GGA) and be signed off on GGA’s policy on CSCF and requirements whilst attending the Event.
5. Application Approval
All applications must be endorsed by a State Contingent Leader or International Commissioner. You acknowledge and agree that the Event Organiser may:
A. determine, in its sole discretion, whether you will be accepted to attend the Event;
B. impose any conditions of participation on your participation that we see fit; and/or;
C. reject any application with or without cause. You forever waive and discharge any claim against the Event Organiser (including its agents, employees or representatives) for any direct or indirect loss or damages that may arise as a result of the rejection of your application.
6. Participation, Registration and Payment
To participate in the Event, you must be registered and pay the participation fee by the deadline set out on the Event Website.
You agree to pay in full or in instalments as per the Payment Schedule outlined in the Event Website and under the terms of the Payment, Cancellation & Refund Policy.
Credit card fees of 1.75% are applicable on all transactions.
You agree to pay additional fees for specific activities (if required).
7. Your obligations
You are solely responsible for arranging your own travel, medical and other insurances.
If you do not live in Australia you are responsible for arranging the relevant travel documentation for your visit to Australia. We recommends that you follow the relevant guidance of the Department of Immigration and Border Protection on its website and/or through your Member Organisation of WAGGGS.
Valuables should not be left unattended or unsecured at any time. We accept no responsibility for any loss or damage to personal property.
I agree to:
i. Familiarise myself with the GGA Child Safe Child Friendly Policy.
ii. Complete training, including Child Safety training, in line with my role/s and within the required timeframe to maintain my membership and/or volunteer role within Girl Guides.
8. Cancellation
If, after registration, you are no longer able to attend the Event, you must as soon as practicable advise the Event Organiser in writing. You may be subject to a cancellation fee (these apply regardless if the participation fee has been paid), see the Payment, Cancelation & Refund Policy for information on applicable cancellation fees and dates.
We reserve the right to:
(a) cancel the participation of an applicant that has an outstanding account, the payment of which has not been cleared 60 working days prior to the commencement of the Event. You acknowledge that if this should occur, you have no right of action, claim, proceeding or demand against the Event Organiser for such cancellation;
(b) cancel the participation of an applicant despite the fact that we may have accepted a participation fee; and
(c) apply cancellation fees as per the dates listed on the Event website, which are enforceable at the time you complete the Application Process.
The Event Organiser may at any time and at its discretion reduce the scope of, postpone or cancel the Event or parts of the program. Should this occur, we will provide as much notice as possible. In this event, you agree to discharge the Event Organiser of any liability from any claim arising out of or in connection to the cancellation of the Event. Participation fees paid will be refunded in the case of Event cancellation.
9. Use of your image
Unless specified in your application, you authorise Girl Guides NSW, ACT & NT as the host organisation on behalf of GGA, Girl Guides Australia, and any person authorised by them to reproduce, publish, broadcast or do any of the acts comprised in the copyright subsisting in photographs, video tapes, voice recording of the applicant in any form deemed appropriate by Girl Guides NSW, ACT & NT or Girl Guides Australia. I hereby release Girl Guides Australia, the Guide organisations of each State and Territory of Australia, and Member Organisations of the World Association of Girl Guides and Girl Scouts (WAGGGS) from all claims, demands, actions, proceedings, costs or expenses relating to or arising out of use of this material.
10. Privacy
I consent to the collection and use of information supplied by me for the operation of Girl Guide organisations of each state and territory of Australia. I acknowledge that the information will be dealt with in accordance with the GGA Privacy Statement and Policy contained in Guide Lines.
I agree that all copyright for any work and intellectual property produced by me in relation to my participation in the Guide program shall be assigned to and belong to Girl Guides NSW, ACT & NT.
11. Code of Conduct
While attending the GGA Australian Jamboree 2025 Bush 2 Beach I agree to adhere to the GGA Code of Conduct which sets the standards of behaviour expected of all Members, Volunteers & Staff participating in Girl Guiding in Australia.
I acknowledge I can access Guide Lines (a publication containing the Membership Policies and Rules of Girl Guides Australia (GGA)) and that its contents are binding on me.
We may, in our sole discretion, refuse an attendee entry into, or remove an attendee from, any Event (official, unofficial or related events) and prohibit them from participating in the remainder of the Event (and/or future Events) without compensation, if we consider, acting reasonably, that the attendee is acting in contradiction of the GGA Code of Conduct – for example, acting in such a way that:
(a) interferes with the enjoyment, comfort or safety of other persons at the Event(s); and/or
(b) threatens the reputation of Girl Guides Australia or the Event.
12. Managing inappropriate behavior of Adult Members/non-Members to Youth Members
Promoting and protecting the emotional, physical, and sexual safety and general wellbeing of all Girl Guides is central to all aspects of the culture and operation of Jamboree 2025.
All Adult Members, Volunteers and Employees, regardless of whether they are mandated by their state or territory legislation, will report any concerns regarding the abuse or neglect of a child or young person as if they were a mandated reporter. This means it is reported to the police and/or relevant statutory child protection agency.
‘Tell us what you are worried about’ form for Youth Members to fill in will be available onsite in the welfare & wellbeing zone and at first aid. This can be handed into the Team Managers (TM) of Welfare, Inclusion, or First Aid only. The TM will then provide this to the Leaders in Charge (LIC’s) who will review and escalate the form.
13. Health and Safety
Occupational and workplace health and safety is each participant’s individual responsibility at the Event.
To the extent permitted by law, the Event Organiser will not be held liable for any direct, indirect or consequential loss suffered as a result of a breach of the Work Health and Safety Act 2011 (Cth), Work Health and Safety Regulations 2011, and any other applicable occupational laws and regulations, and companies and individual participants acknowledge their responsibilities and liabilities imposed upon them under this legislation.
14. Indemnity and Release
To the extent permitted by law:
(a) you indemnify and hold harmless the Event Organiser (including its directors, employees, agents, representatives and contractors) (together, the indemnified) from and against any judgment, debt, damage, loss, cost, expense or liability howsoever arising and whether present or future, fixed or unascertained, actual or contingent whether at law, in equity, or otherwise (Loss) that may be brought or made against the indemnified by any person in respect of any Loss arising out of, or in connection with, your participation in the Event, except to the extent such Loss was caused by the negligent or unlawful act or omission of the Event Organiser;
(b) you waive, release and discharge the Indemnifies from and any all liability (including without limitation for death, personal injury, property damage, property theft or actions of any kind) that may be suffered by you, arising out of, or in connection with, your participation in the Event, except to the extent such Loss was caused by the negligent or unlawful act or omission of the Event Organiser;
(c) the Event Organiser will not be liable to you for any direct, indirect or consequential Loss, loss of income, profits, revenue or business, loss of or damage to goodwill, loss of business reputation, loss of data, loss of access to markets, loss of production, loss or denial of business opportunity, loss of anticipated savings, business interruption, or damage to credit rating, howsoever arising out your participation in the Event, including in relation to legal, regulatory, and third-party requirements, such as for example, in connection with border closures, quarantine, COVID-19 testing, personal protective equipment (e.g. face masks), and other COVID-19 related events, unless expressly stated otherwise by the Event Organiser; and
(d) the Event Organiser’s maximum aggregate liability to you arising out of or in relation to the Event shall in no circumstances exceed an amount equal to the participation fee.
15. Miscellaneous
Transfer: You acknowledge that no part of the Event is transferable to any other person, and cannot be redeemed or exchanged in any manner.
Force majeure: We may, in the case of a Force Majeure Event, and with as much notice as possible, cancel or postpone the Event without liability, except to issue a refund to you in line with clause 8 (Cancellation) above. Force Majeure Event means:
(a) an act of God, fire, lightening, earthquake, explosions, flood, subsidence or other natural disaster, insurrection or civil disorder or military operations or act of terrorism, expropriation, strikes, lock outs or other industrial disputes of any kind not relating solely to the party affected, an unforeseen act of government or entry and exit restrictions, epidemics, pandemics, quarantine, disease outbreak, currency restriction, embargo, public utility or common carrier or computer disruption due to the effects of a virus or other malicious code introduced other than through the acts or omissions of the party seeking relief; and
(b) any other event which is not within the reasonable control of the party affected (which in the case of the agreement includes the reasonable control of its subcontractors), but does not include any act or omission of a party or a change in law, legislation or government policy which from time to time regulates or affects the event which has an increased cost effect on the delivery of the event.
Removal and exclusion: We reserve the right to remove you from the Event and/or exclude your participation in the Event and any future events, without compensation to you, if in our sole discretion:
(a) your behaviour is or becomes inappropriate, offensive or abusive;
(b) it is necessary to prevent damage to any property; or
(c) it is necessary on medical or health and safety grounds (including possible harm or injury to any person)
Applicable law: These Terms are subject to the laws of New South Wales, Australia and the parties agree to submit to the non-exclusive jurisdiction of those courts.
Waiver: A failure by us to exercise a right or remedy under these Terms does not amount to a waiver of those rights and remedies and any such waiver must be expressly set out in writing.
Binding nature: If any provision of these Terms are held to be illegal, invalid or otherwise unenforceable, the remainder of these Terms will not be affected and these Terms will be read as if the part had been deleted in the relevant jurisdiction only.
Entire agreement: These Terms constitute the entire agreement between the parties relating to the subject matter set out herein and supersedes all prior discussions and communications.
